Keeping your operating hours accurate is essential for smooth operations. When you update your hours in the dashboard, your AI Voice Concierge and Chatbot instantly learn your schedule, ensuring they always tell callers exactly when your course is open or closed.

Types of Hours You Can Configure

To accommodate the natural shifts of a golf season, the dashboard allows you to break your schedule down into four distinct categories:

  • Regular Opening Hours: Your standard, year-round weekly schedule (e.g., Monday to Sunday, 7:00 AM – 7:00 PM).

  • Seasonal Hours: Adjust your schedule for predictable seasonal shifts, such as extending hours for peak summer twilight rounds or shortening them during the winter months.

  • Special Hours & Holidays: Set unique schedules for specific calendar days, such as closing early on Christmas Eve or opening late on New Year's Day.

  • Maintenance Periods: Block out the schedule for structural or turf care (like green aeration or fairway overseeding).

🔄 The Maintenance Sync Feature

The Maintenance Periods tool is designed to save you administrative time by linking directly with your announcement channels:

How it works: When you log a maintenance closure date in your Operating Hours settings, the system automatically creates a corresponding alert on your Noticeboard.

Because it syncs across the platform automatically:

  • The Voice Concierge will verbally warn golfers calling to book during those dates.

  • The Chatbot and Web Portal will flag the dates with a prominent alert banner.

  • Confirmation Emails for tee times matching those dates will include an automated notice, ensuring players have clear expectations about course conditions before they arrive.

Step-by-Step: How to Update Your Schedule

  1. Navigate to Settings > Course Settings and select Operating Hours.

  2. To change your standard weekly schedule, edit the Regular Operating Hours grid.

  3. To add holidays, temporary closures, or turf care windows, click Add Special Hours/Maintenance Period.

  4. Input your dates and times. The AI will adopt the new schedule instantly.
